Response tab — assembling the response package, selecting response method, managing reviews and approvals

Response
The Response tab is where SAOs manage the final response to the requestor. This includes setting the outcome, tracking fees, obtaining approvals, and recording how the response was delivered.

Setting the Outcome
Set the outcome of the request to one of the following:
| Outcome | Description |
|---|---|
| Full Disclosure | All responsive records are released without redaction. |
| Partial Disclosure | Some records or portions of records are withheld under applicable exemptions. |
| Withheld | All responsive records are withheld in their entirety. |
| No Records | No records responsive to the request were found. |
| Withdrawn | The requestor withdrew the request before completion. |
Reviews and Approvals
If your workflow requires approval before the response can be sent:
- Add reviewers by clicking Add Reviewer and selecting the appropriate users.
- Each reviewer receives a notification and can review the response package.
- Reviewers approve or reject the response, with comments if needed.
- All reviewer decisions must be obtained before the request can be closed.
Tracking Fees
Record any fees associated with the request:
- Assessed amount — The fee calculated based on your organization's fee schedule.
- Amount paid — The amount the requestor has paid.
- Waiver status — Whether a fee waiver has been granted (full or partial).
Recording the Response
When the response is ready to send:
- Set the response method (e.g., email, mail, in person).
- Record the response date.
- Once the response has been delivered, move the request to Closed status.
