Document Access Report

The Document access report is the one report whose subject is your own colleagues: it shows which staff opened or downloaded which records, and flags downloads by people holding no role on the case. It is Administrator only, and built for investigating a specific concern rather than routine monitoring.

What This Report Shows

For the period selected at the top of the panel:

  • Who viewed or downloaded which records — a document-level access trail across your requests.
  • Off-case downloads — downloads by people who hold no role on the case the document belongs to, called out as their own figure rather than buried in the general access list.

Where It Sits, and Who Can See It

Document access sits under System & compliance, beside the Audit ledger, rather than among the operational reports — it requires Administrator rights, and the panel carries an in-panel reminder that it is meant for investigating a specific concern, not for routine monitoring.

Reading the Off-Case Downloads Figure

Treat this figure as a question, not a finding. Administrators and access officers legitimately hold tenant-wide access, so those users are excluded from the count outright. Anyone else who remains is listed with a note explaining their access — read the note column before drawing any conclusion, since a legitimate reason for access is exactly what the note is there to show.

Use It to Investigate, Not to Monitor

This report is built around a concern someone has already raised — "did this person access this record, and were they entitled to?" — rather than as a dashboard to watch day to day. Reach for it when you have a specific question to answer.
