Creating Requests

This guide walks you through creating a new Subject Access Request in AccessPoint.

Creating a New Request

To create a new request:

  1. Navigate to the Requests dashboard
  2. Click New Request
  3. Select the request type (e.g., ATIP, FOI, GDPR SAR)
  4. Fill in the required fields

Request Details

Required Fields

  • Request Type - The legislation or regulation under which the request was received
  • Requester Name - The name of the individual or organization making the request
  • Date Received - The date the request was received by your organization
  • Description - A brief summary of what information is being requested

Optional Fields

  • Requester Email - For electronic correspondence
  • Requester Phone - For telephone follow-up
  • Organization - The requester's organization (if applicable)
  • Reference Number - Your organization's internal reference number

Setting Deadlines

AccessPoint automatically calculates the statutory deadline based on:

  • Your configured jurisdiction rules
  • The date received
  • Business day calendars (excluding holidays)

You can also:

  • Extend the deadline if your legislation allows extensions
  • Pause the clock for consultations or fee negotiations
  • Manually override the deadline if needed

Request Workflow

After creating a request, it moves through configurable stages:

  1. Intake - Initial receipt and acknowledgment
  2. Assignment - Tasks assigned to custodians
  3. Collection - Documents gathered from custodians
  4. Review - Documents reviewed for responsiveness and exemptions
  5. Approval - Final review and sign-off
  6. Response - Response package prepared and sent

Tips

Tip: Use templates for common request types to save time on data entry. Templates can pre-fill jurisdiction rules, workflow stages, and default assignments.

Tip: Enable email notifications so custodians are automatically notified when they receive a new task assignment.
